What goes into each line of the mileage log
- Date, start and end address, distance. Addresses are looked up automatically from the GPS track.
- An odometer chain. You enter your car's odometer once; from then on every trip carries a start and an end reading that continues from the last one. When a reading you type from the dashboard doesn't match, the log shows the gap instead of hiding it.
- Business, Commute (home–work) or Private, with the purpose and the client or business partner.
- Saved places such as your office or a client fill in the address, the trip type, the purpose and the client for you. An optional work-hours rule files drives made in your working hours as business.
- Background recording, and if you like, automatic recording of every drive. A drive the phone missed can be added by hand.
Example of one line
| Date | From | To | Odometer | Distance | Type |
|---|---|---|---|---|---|
| 14 Oct | Office | Client · Harbour Rd | 48 210 → 48 237 | 27 km | Business |
Business-use share, or private kilometres against a ceiling
In the United States, the United Kingdom, Ireland, Canada and Australia the log shows your business-use share. There, driving between home and your regular workplace counts as private, and RoadTrace counts it that way.
Where a private ceiling decides the tax, the log shows a meter against it: the Netherlands (500 private km a year, the bijtelling rule), Austria (500 km a month) and Sweden (100 mil, which is 1,000 km a year, on at most 10 occasions).
A record you can't quietly rewrite
- Every line and every change goes into a chain: each record carries a SHA-256 fingerprint of the one before it, so a change made behind the log's back shows.
- Lines are sealed after 7 days (you can change the window). A change after that is printed in the report as a correction, next to the original.
- A deleted line stays in the record as a deletion.
The report: a mileage log PDF and CSV
- An A4 PDF laid out as your country's document: Mileage log (UK, Ireland, US), Vehicle logbook (Australia), Mileage logbook (Canada), Rittenregistratie, Körjournal, Kørebog, Kjørebok, Ajopäiväkirja or Fahrtenbuch. And a CSV.
- For a month, a year or a period you choose, per vehicle. Gaps and corrections are marked. Miles in the UK and the US.
- Exporting the report is part of RoadTrace Pro: one payment, nothing renews. The log itself, sorting and editing are included.
What the tax offices ask a mileage log to show
- Australia (ATO logbook method): a logbook covering at least 12 continuous weeks, with the reason, the destination, the odometer readings at the start and end and the kilometres of each work journey. It stays valid for 5 years.
- United Kingdom: if you claim tax relief on business mileage through PAYE, HMRC asks for copies of your mileage log with the reason for every journey and the postcode where each journey started and ended.
- Canada (CRA): for each business trip the date, destination, purpose and kilometres, plus the odometer reading at the start and end of the year.
- United States (IRS): for business use of a car, each trip's date, destination, business purpose and miles, and your total miles for the year.
RoadTrace keeps the record with these details. Whether a log is enough for your claim is for your tax office or employer to decide.
Your country, your language
- Rittenregistratie: Netherlands, the 500 km rule for a company car
- Körjournal: Sweden, förmånsbil and ringa omfattning
- Kørebog: Denmark, the daily kørebog and kørselsgodtgørelse
- Kjørebok: Norway, documenting business driving
- Fahrtenbuch: Germany, Austria and Switzerland
- Ajopäiväkirja: Finland, car benefit and business kilometres
Rules are built in for the Netherlands, Belgium, Sweden, Denmark, Norway, Finland, Germany, Austria, Switzerland, the UK, Ireland, Australia, Canada and the US. RoadTrace speaks 19 languages.
Your log stays on your phone
The log is stored on your iPhone, not on a server of ours. Addresses are looked up with Apple's geocoding service. You can save a backup copy in the Files app, and RoadTrace only restores a backup that has not been tampered with.
The same app is still the GPS speedometer and trip recorder: speed and altitude at every point of the road.
Mileage log questions
When can I use the mileage log?
It arrives with RoadTrace 1.2, after App Store review. The version on the App Store today records trips with speed and altitude; update the app when 1.2 is out.
Does RoadTrace log my drives automatically?
It can. RoadTrace records drives by GPS in the background, and you can switch on automatic recording of every drive. A drive the phone missed can be added by hand.
Is the log accepted by the IRS, HMRC, the ATO or the CRA?
RoadTrace keeps the record with the details these offices ask for and keeps every change visible. Whether a log is enough for your claim is decided by the tax office. RoadTrace is not approved or certified by any tax office and does not give tax advice.
Does commuting count as business?
Not in the US, the UK, Ireland, Canada or Australia: driving between home and your regular workplace counts as private there, and RoadTrace's business-use share treats it that way. Commute is its own trip type, so you can see it on its own.
Where is my mileage log stored?
On your phone. You can save a backup copy in the Files app; RoadTrace restores only a backup that has not been tampered with.
Is it a subscription?
No. The log, sorting and editing are included. Exporting the PDF and CSV report is part of RoadTrace Pro: one payment, nothing renews.
RoadTrace keeps the record; your tax office decides what it accepts. This page is not tax advice.
